Legal Secretary - Litigation & Dispute Resolution

2.Main function of job
To provide secretarial and administration support to solicitors and legal executives, provide marketing support and take a pro-active role in the day to day running of the office.
3.Supervisory Responsibilities
To ensure smooth running of Thames Gateway Office taking direction from and working alongside KKA.
4.Main Duties
To ensure the smooth flow of documents and correspondence in and out of the Department.
To word process all necessary documents from hand-written notes or by transcribing recorded dictation.
Photocopy and file documents, maintain stationery and other supplies and provide refreshments.
Answer the telephone, routing calls and taking messages.
Manage KKA's diary, organising internal and external meetings.
Manage KKA's contacts on the firms database, which will include adding new contacts and updating entries to existing contacts. Manage KKA's various contact lists which are not on the firm's database (in Excel), to create invite lists for events as directed by KKA. Become a best practice user of the system. Be proactive in obtaining missing information from KKA and update system. Ensure that necessary communication around this with other members of the team takes place.
Assist KKA by preparing packs for new business meetings. This will involve compiling information produced by the Marketing team, such as KKA's profile, case studies, articles, etc and creating a pack in a folder to support KKA in his meeting
Undertake mail merges as necessary
It is expected that, in accordance with business needs, you will provide support to other secretaries in your department or across the firm by picking up work or covering at times when your work load is light or your usual fee earner is away from the office for whatever reason or at times of urgent business need.
Any other reasonable duties assigned from time to time.
5.a. Specialist Skills Required
Computer literate - Word, Excel and PowerPoint
Keyboard skills, especially word processing.
Telephone skills.
Previous experience of database management is desirable, however an understanding of the need for complete accuracy and attention to detail to essential

Interest in legal matters and understanding of the need for confidentiality.
An interest in 'business' and learning more about KKA's clients and the Thames Gateway region

A well-organised, careful, thorough and conscientious approach.
Ability to work alone and as part of a team
Ability to work under pressure and to deadlines, planning time and priorities.
Clear speaking and writing.
Pro-active approach to organising and managing office needs
Good grasp of the English language - spelling, punctuation and sentence construction.
Enjoy contact with others, good social skills including tact, patience, understanding and persuasiveness
Smart appearance
Clean driving licence and ability and willingness to attend other offices for training and other internal purposes as required
6. Qualifications/education required
Good standard of general education, especially English.
Numerate and literate
Word processing skills/qualification.
Training as legal secretary/legal secretary qualification.
